Workflows & AI

Move selected URLs into work and use AI only when it helps.

Workflows help teams move pages through build, QA, final review, and deployment. AI guidance helps users understand what to do next and, when enabled, generate targeted fixes for a page.

Workflows

Start work from selected URLs

Workflows can begin from selected URLs in a workspace or from selected results in the Content Query Report.

Workflow title

Use a short descriptive title so teammates can recognize the work quickly.

Examples: Winter Banner Update, Homepage Asset Refresh, Rename HarborCrest References

Instructions

Add a short note if the team needs quick context about what should be changed.

Example: Replace homepage banner with spring campaign
Workflow Detail

Track one work package across stages

Workflow detail is where you review the pages in scope and move the work through stages such as build, QA, final approval, and deployment.

  • The workflow keeps the production URL as the canonical page in the workspace.
  • Stage audits can run on test or staging URLs during build, QA, and approval.
  • After deployment, the production URL can be audited again.
AI Guidance

Use AI when you want help moving from findings to action

AI Action Plan

Helps users understand what matters most, what can wait, and what to do next.

AI Fixes

When available, AI Fixes can suggest metadata, schema, copy improvements, and implementation notes for a page.

Important: AI Fixes are manual by design. They are meant to be user-triggered and reviewable, not automatic.
Collaboration

Share workspaces and follow updates from notifications

Sharing

Workspaces can be shared with individual users or user groups so multiple teammates can work from the same content set.

Notifications

The notification bell surfaces important updates such as indexing completion, workflow events, and workspace changes.
